Responding to a meeting invite
How you find a team meeting you've been invited to, reply with coming, declined, or leave, what the invite badge means, and how the meeting holds time on your own calendar.
When your studio sets up a team meeting and invites you, it shows up in the private Meetings section of your own profile's News tab — only you can see it there. From the moment you're invited, that time is held on your schedule, so a client can't book over it while you decide. This guide covers finding the invite and replying.
Step by step
- 1
Spot the invite
You get a notification when you're invited. You'll also see a number badge on your profile's News tab and its Meetings section, and a dot on the Profile tab in the bottom bar. That count is how many invites you still haven't replied to — it stays up until you accept or decline, not just until you've seen it.
- 2
Open the meeting
Tap the notification, the meeting card in the Meetings section of your profile's News tab, or the purple meeting on any of your calendars. The meeting page shows the title, description, where and when it is, a Directions link to the address, and who's coming, who's still to reply, and who declined — with each person's reason.
- 3
Reply
At the bottom of the page:
- Accept — you're coming. The time stays held on your schedule.
- Decline — a short reason is required, and everyone invited can read it. Declining frees the time again.
- Leave — step out of a meeting you'd already accepted. This also frees your time. The studio can re-invite you later.
What the invite does to your calendar
You don't have to accept for the meeting to affect you. Being invited already holds that time:
- While you haven't replied, the slot is blocked — clients can't book it.
- Accepting keeps it blocked.
- Declining or leaving frees it immediately, so you (and your clients) can use it again.
Changing your mind
A meeting you declined stays in your Meetings section until it's over, so you can reopen it and accept if your plans change. The one catch: if you freed the slot and then booked a client (or took on another commitment) in that time, you can't re-accept until that's cleared — the app won't let you double-book yourself.
If you leave a meeting you're removed from it, but the studio can invite you again.
When the studio changes a meeting
If the studio moves the meeting's date, start time, duration, or place, your reply resets and the invite badge comes back — that's your cue to check the new details and reply again. A change to just the title or description doesn't reset anything; you're only told it changed.
Reminders
If you're coming, you get a reminder 24 hours before and again 1 hour before it starts.
Frequently asked questions
- Do I have to give a reason to decline?
Yes. A short reason is required, and everyone invited to the meeting can see it on the page.
- The invite count won't go away — why?
It tracks whether you've replied, not whether you've opened the alert. Accept or decline the meeting and the count clears.
- I declined by mistake — can I undo it?
Open the meeting again and tap to come. You can re-accept any time before the meeting happens, as long as you're still free at that time.
- Will my clients see this meeting?
No. The meeting is private to your studio's team. A client only ever sees that time as unavailable on the booking screen.
