How the studio calendar combines bookings

Why the studio calendar shows every team member's bookings together, and what else it pulls in — away spans, interviews, and events.

A practitioner's own calendar shows just their bookings. The studio calendar is different: it gathers everyone's bookings into one place, tied to your studio's location, so you can see the whole shop's day at once.

  • One studio, one shared calendar

    Every booking that happens at your studio — whether it belongs to a resident or a visiting guest artist — is attached to your studio's location, and the calendar pulls them all together. That's why you see different artists' bookings stacked on the same day and, on the day timeline, sharing one time axis. Each artist keeps their own color so you can tell them apart at a glance.

  • Only confirmed bookings show

    The calendar shows confirmed appointments only. While an artist and client are still negotiating — proposing a date, time, or duration that hasn't been agreed yet — that booking stays off the studio calendar. It appears the moment the date, time, and duration are all confirmed. This keeps the calendar a reliable picture of what's actually happening, not what's still being discussed.

  • More than just bookings

    The calendar also surfaces a few things that aren't bookings but affect your day:

    • Away spans — when one of your artists is away, for example on a guest spot at another studio, a bar marks the days they're out.
    • Interviews — if you're hiring, scheduled interviews appear as their own bars.
    • Events — studio events show up alongside the bookings.
  • The studio's view is read-only

    Because these bookings belong to the artists and their clients, the studio sees them but doesn't run them. Tapping a booking opens its details for reference, not for action. What the studio does control from the calendar is work stations — see Assigning and changing work stations.

Frequently asked questions

A guest artist's booking shows in a different color from my residents. Why?

Guests use a reserved guest color across the calendar so they stand out from your resident team. Residents use the colors you choose in Settings.

An artist left but their bookings are still on my calendar. Is that right?

Yes. Removing an artist doesn't cancel their bookings — those sessions stay attached to your studio's location until they happen or are handled. See Removing a team member.
