Assigning and changing work stations
How to put an artist on a work station from the studio calendar, use auto-assign, and clear up work-station conflicts and unassigned guests.
Work stations are the physical spots in your shop — a bed, a chair, a room. Assigning a booking to a station keeps two artists from landing on the same spot at the same time. You create the stations themselves in Settings; this article is about putting artists on them from the calendar. It's part of the Team Bookings subscription.
Assigning a station from a booking
Open a day from the calendar and tap a booking's station pill (it reads Assign station when nothing's set yet). A picker opens, titled Assign work station or Change work station depending on whether one is already set.
Your choice applies to all of that artist's bookings on that day, not just the one you tapped — the picker says so right at the top. So a resident who works one spot all day gets set once.
In the picker, each station shows its status: Free, In use (you can't pick it — someone's already there), Current (the one set now), or a note that it's reserved for a particular artist or for guests. Stations that don't suit that artist's discipline don't appear.
Letting the studio assign for you
On a day's screen, an Auto-assign button appears when some bookings still need a station. It fills in free stations for everyone it can and tells you how many it placed and how many it couldn't (because no station was free). You can also turn on automatic assignment for every new booking — see the Auto-assign on confirmation toggle in Settings.
Fixing work-station issues
When something needs sorting out, a banner appears under the Month grid: work station issues to resolve. Tap it to open the Workstation Issues page, which splits problems into Conflicts (two artists on the same station at the same time) and Unassigned (bookings, and visiting guests, with no station yet).
On a conflict, each side gets three choices: Keep them where they are, Move them to another station, or Unassign them. For a guest with no station, you can keep one station for their whole stay or just for a single day.
A work-station conflict is not the same as a capacity conflict — see Capacity vs work-station conflicts for the difference.
Frequently asked questions
- I changed one booking's station but it changed the artist's other bookings that day too. Is that a bug?
No — that's how it works. A station assignment covers the artist's whole day, so all their bookings that day move together.
- A station I want isn't in the list. Why?
Each station has a "suitable for" setting that limits which disciplines can use it, and a station already in use that day shows as In use and can't be picked. Check the station's settings, or pick a free one.
- A visiting guest artist has no station. How do I give them one?
Open the Unassigned tab on the Workstation Issues page (or mark some stations as guest-priority in Settings so they get one automatically). You can keep a station for their entire stay or day by day.
